OSPI Data System
                                   

The SDFSC Data Project:

The 3-year SDFSC Data Project is funded through a federal grant awarded to the Office of the Superintendent of Public Instruction (OSPI) from the Department of Education, SDFSC Program. The Project focuses on the collaborative work of OSPI and Commerce, who collectively receive all of the state's allocation of federal SDFSC funding.

The project is in its second year, with the majority of year one dedicated to inventorying data collection and system functionality requirements. You might recall that at the 2005 annual meeting, OSPI staff Nasue Nishida and Jason Harris came and solicited input on our data collection needs. There has also been a workgroup that has met regularly over the last year providing input on the system, specifically from a Community Mobilization perspective.

The data system being developed through the project grant is designed to meet both the SDFSC reporting requirements and CM reporting requirements. In addition, following the SDFSC Principles of Effectiveness, the system will collect information useful in program design and implementation.

How Will This System Help Me?

Commerce and OSPI have scruntized each of your required reports to eliminate all duplication. The system streamlines reporting and data collection efforts. Many of your paperwork requirements are being condensed into this one system. This is what you can expect as a user of this product:

1)It will collect portions of your six-year plan.

2)It will replace most of the Community Mobilization Biennial Application process. Each of your risk and protective factors, objectives, goals, and logic models will be entered into the system. These pieces will remain on the system for year-to-year planning, and comparison. This will inform us of your planned work. Just like your previous application and logic models, the workplan in this system, will be incorporated by reference into your Community Mobilization contract.

3)It will replace the PAR data system with reporting beginning in July 2007. This new reporting system will have more reports available for your use and community distribution. You will also be able to compare your work against a statewide profile. You will be able to enter as many reports for your activities as necessary to help you in keeping your data organized and up-to-date.

4)It replaces your year-end Program Summary Report, commonly known as the one-pager. You will need to enter a small amount of year end data, but the bulk of your report will generate itself from the data you've already provided through your activity reporting and initial set-up.

5)It will align your local activities to the state prevention framework benchmarks.

6)It will provide you with more usable reports, and the ability to compare your community service demographics to the collective state picture.

How Can I Access the System?

Contact your Program Coordinator (Ramona or Scott) for your User ID and Password.  You can access the system using the following web address. The user guide is located under the Resources tab.

When Will I Be Required to Use The System?

Use of the system began in April 2007 when you entered elements of the six-year community strategic plan and portions of the CM application. Activity reporting began as of July 2007.

When and Where Can I Find Training?

There is nothing planned at this time. Contact your Program Coordinator for individual assistance. We will be providing additional tips and guidance during one of your upcoming Region Meetings in mid-year 2008. Stay tuned for more information.

What Might I Need to Do to Prepare for This?

You really don't have to do much. The system is web-based, so you will need to make sure you have reliable web access. Of course, given that the PAR system is web-based and you've been reporting there, this isn't expected to be much of a problem. Commerce and OSPI will offer training on the system in the early spring before the release.

How Can I Find Out More?

We are excited that this project has come along so well. We've had much input from the workgroup, and the project advisory committee. This input has helped to create a well thought out plan.
